A step by step guide for integrating Google Sheets – Notion bundle using Zapier
1. Setting up Google Sheets
- First, create a spreadsheet in Google Sheets that will contain meeting data, like in the example:
- Meeting Name
- Meeting email
- Meeting Time
- Meeting link
- Meeting Type
2. Setting up Сalendly
- Create or login to your Calendly account.
- Configure an action on Calendly that should be executed for meetings.
- Make sure that Calendly has access to your calendar app (Google Calendar, Outlook, etc.) and that all configs fit your needs
3. Setting up Zapier
- Register or login to your Zapier account.
- Click on “Create”.
- Select “Zaps”.
Adding a trigger event
- Click on the “Trigger” button.
- Select Calendly as trigger app
- Select the trigger: In “Trigger Event” field select “Invitee created” (fig. 1). Link your Calendly account (fig. 2-3) Click on “Continue (fig.4).
- Then you need to configte the Webhook Subscription scope. In our case it is user, so select it and click “Continue”.
- Test the trigger by clicking on the “Test trigger” button.
- Then the system should find and display all the information. Click on “Continue with selected record”.
Adding an action to Google Sheets
- Select app: In the “App & Event” field, select Google Sheets.
- Select an action: In the “Action Event” field, select “Create Spreadsheet Row”. This action will add new data to Google Sheets with meeting data.
- Link your Google Sheets: If you didn’t do it already, you should link your Google Account to Zapier.
- Customize the action:
- Select the spreadsheet and sheet you need for the data to be imported to.
Link Calendly data with corresponding rows in the Google Sheets spreadsheet.
- Connect “Meeting name” field on Calendly to the same field on Google Sheets.
- Connect “Meeting Email” field on Calendly to the same field on Google Sheets.
- Connect “Meeting scheduled start time” field on Calendly to the same field on Google Sheets.
- Connect “Meeting type name” field on Calendly to the same field on Google Sheets.
- Connect “Scheduled Event Hosts URI” field on Calendly to the same field on Google Sheets.
After you’re done, click ”Continue”.
12. Testing the integration
- Test & Continue: Click on “Test Step” to check if the is transmitting correctly between Calendly and Google Sheets.
- If everything is correct, click “Publish” to publish the data to Google Sheets.
- Check your Sheets spreadsheet and make sure that the data is correct.
13. Finalization
- If everything is correct, click on “Turn on Zap”.
- From now on, everytime someone schedules a meeting on Calendly, the data about the meeting will be sent to an according Google Sheets spreadsheet.
