An AI assistant that answers customer emails and updates your CRM
It reads each email, answers from your own material, and logs the result on the customer record. A person approves at first, hard cases go straight to your team, and you can switch it off anytime.

Can an AI assistant really answer customer emails?
Yes, for the large share of emails that ask the same things in different words: pricing, availability, order status, how a process works, where to send something. The assistant reads the message, finds the answer in your own material, and writes a reply in your tone. Anything unusual goes to a person with the draft and the context attached.
It is not a template responder. It reads what the customer actually asked and answers that, using what your business really offers rather than a guess.
Does the assistant send replies on its own, or wait for approval?
Your choice, and most clients start with approval. In the first mode the assistant drafts every reply and a person sends it with one click. Once you trust the drafts for a given type of email, such as order status or opening hours, you can let those go out automatically while everything else still waits for a person.
Either way there is a switch to turn the assistant off at any moment.
How does it know the right answer for my business?
It answers only from material you give it: your price list, your policies, past replies you are happy with, and the live information in your CRM. It does not invent a plausible-sounding answer. When the material does not cover the question, it hands the email to a person instead of guessing.
This is the same approach we used for a multichannel sales assistant: every reply on every channel comes from one shared base of company information, so two customers asking the same question get the same accurate answer. The details of building assistants like this are on our AI agent development page.
How does the assistant update my CRM after an email?
After each conversation it writes the result into the customer record, so nobody has to log it afterwards. That can include the summary of what was asked, the status of the request, the next step, and a follow-up task for the right person.
It also works the other way: before replying, the assistant looks at the customer record, so a returning customer is recognised and the reply reflects their history. This connection to your CRM is the same kind of work we do in CRM integration.
What happens with the emails it should not handle?
They go to a person, quickly, with everything the assistant learned already attached. You decide the rules. Common ones: complaints, anything about money or contracts, anything from a key account, and any email where the assistant is not confident in the answer.
The person picking it up starts with the full conversation and a suggested reply, not a blank screen. The assistant handles the routine and a human handles the judgment.
Which email and CRM tools does it work with?
It connects to the mailbox your team already uses and to the CRM you already run. We have built CRM work on HubSpot, Pipedrive and GoHighLevel, and the diagnostic confirms how your own mailbox and CRM would be connected.
Nothing has to be replaced. The assistant sits between the inbox and the CRM you have today.
How do you test it before customers see it?
We run it on your real past emails first, with nothing sent. You read the drafts it would have written, we fix the gaps, and only then does it go live in approval mode. Every reply it sends can be traced back to the material it used.
After launch it is monitored, so a failing step raises an alert instead of silently dropping a customer email.
Have you built an assistant like this?
Yes. For a B2B sales agency we built one AI assistant that covers voice, chat, Telegram and WhatsApp from a single shared base of company information. Replies go out in minutes at any hour, a person who called yesterday and writes today is recognised as the same person, and a human steps in once a lead is worth their time, with the full conversation already attached. It runs on 4 channels instead of four separate tools.

How does the project run?
- 1 Diagnostic first.
We look at the kinds of emails you receive, the material the assistant can answer from, and the CRM fields it should update. You keep the plan even if you never hire us.
- 2 Build and rehearse.
We build the assistant on your material, run it on your real past emails with nothing sent, and tune it until the drafts are ones you would send.
- 3 Go live with approval, then loosen.
It starts by drafting for your approval. We stay for 30 days of support, monitor every step, and widen what it sends on its own as you gain trust.
